Job Purpose:

We are seeking an organized and detail-oriented HR Assistant to provide administrative, payroll, and office support to the Head of HR Italy and to the HR Team. This role will focus on maintaining accurate employee paper and electronic records, create the new ones for the new openings, the responsibility in closing the monthly attendances of the Italian Clubs and to guarantee the HR Club requirements are delivered on time (uniforms, badges, meal vouchers) etc. The ideal candidate will have strong organizational skills, the ability to handle sensitive information with confidentiality and passion around admin&payroll matters.

Responsibilities:

HR organization:

  • Maintain employee files and databases updated (paper + electronic).
  • Collection of employee’s documents;
  • Collection of freelancers and collaborators documents (insurance, medical certificates etc)
  • Name badges creation;
  • ‌Calendar H&S courses and medical visits;
  • Uniforms orders;
  • ‌Meal vouchers orders;

Payroll and HR Administration:

  • Assist in processing payroll for Italy, ensuring that the attendances and the monthly variables are correctly handled.
  • Sending COB to authorithies and handle the admins for injuries.
  • ‌Sending alerts to Clubs on contractual expiry dates;
  • Complete the employment contracts on existing drafts;
  • Calculation of the hours worked by extra and joc;
  • Prepare the onboarding docs for the new hires;
  • Maintain confidentiality and handle sensitive employee information with discretion.

Requirements:

  • Bachelor's degree in Human Resources, Business Administration, or a related field.
  • Desire to grow, in particular from a Payroll and Admin side, in line with the Company growth;
  • Proven experience in HR organization with exposure to payroll administration and HR Admin.
  • Familiarity with Italian labor laws, regulations, and payroll processes.
  • Strong organizational and time management skills, with the ability to multitask effectively.
  • Attention to detail and accuracy in data management.
  • Ability to handle confidential information with discretion.
  • Preferred fluency in English, both written and spoken.

The role is a part time 30 hour position based in Milan, reporting to the Head of HR Italy.
